Coronation Hall Builders quotations and instructions to proceed
Meeting held at Manor Farm Wilton on 17th February 2009 at 7.15pm.

Purpose of the meeting
- To discuss the tenders received from five local builders to re build the Coronation Hall as per the building specification provided by the Project Manager
- To discuss the matters raised by residents of the Parish on 11th February when the building materials were on view in the Hall and all members of the Parish were invited to give their views.
Building Tenders:
Tenders have been received from The Marlborough Group, Carty, Gaiger, Amor and Ellis, and AG Builders.
Each tender was discussed and the merits of each builder as a business, their quotation , the start and completion time were all taken into account before a decision was taken.
It was proposed that we should engage Carty Building Contractors Ltd of Fyfield Marlborough to carry out the building of the new Coronation Hall. All those present were in favour of this proposal and as there were no other proposals the Project Manager was instructed to proceed to arrange the contract with Carty Ltd.
This decision will be discussed and voted on by the Parish Council at their meeting in March 2009.

External Wall and roof tiles.
Four external wall colours were available to choose from and 66% of the public chose the Black Ebony External colour. Two roof tiles were available to choose from and 61% of the public chose the Ashurst Tile.
The Parish Council will pass on the results of our survey to Kennet District Council and ask them to give us permission to uses these colours.
Provision of a Bar in the Hall.
It is important that we have a suitable space for a Bar in the hall. This was discussed and the Project Manager will discuss this with the Architect and make the necessary changes to the Builders specification.
Ceiling Beams.
The Hall is designed with very attractive visible oak beams in the roof space. It was agreed that there will be three beams and the fourth which was proposed to be constructed against the end wall will not be included. The Builders specification will be amended accordingly.
Meeting Room light.
Planning permission was granted without any windows in the meeting room on the understanding that these would be included at a later date. It was agreed to give natural light to the meeting room and the roof velux windows will be added to the builder’s specification and a planning application will be made to Kennet.
VAT
A new build is not subject to VAT and the details of this will be forwarded to the Project Manager so that the invoices received will not include VAT.
Lighting and AV System.
The details of this specification is being worked out and discussions between Jamie Pearson, Guy Symons, The Project Manager and Chris Garman will report back to the committee in due course.
Locking the Hall
A suitable security system will be installed so that the hall in left secure at the end of a letting without the need of the caretaker being present.
Builders vehicles and Machinery
These will be parked on the grass area in front of the Hall and be surrounded by their security fence. This fence will cross the track from the grass to the left hand gate post of the left entrance to stop lorries using a circular route when delivering items to the Hall. The road leading to 264 and 265 The Green will remain open for their use.
The Architect will provide a detailed specification for the construction of the off road parking area which will be included in the Builders specification.
